Detailed Description

Reporting to the Special Assistant, the Assistant will provide high-level administrative support to the President. The Assistant will be the first point of contact for the Office of the President and will interact with a variety of constituencies across the university and externally, including Trustees and donors, handling details of highly confidential and critical nature. The Assistant will also provide backup to members of the President's office team. Responsibilities will include managing the President's complex calendar using judgment in prioritizing meetings and commitments in consultation with the Special Assistant, proactively identifying scheduling conflicts, accurately communicating details of meetings to all participants, and coordinating routine catering and media services for meetings. Will coordinate all travel arrangements in accordance with President's needs and preferences and prepare trip itineraries and reimbursements. The Assistant will collect and organize information for use in discussions and meetings, coordinate, prioritize, and draft President's correspondence, and serves as the primary liaison between the Office of the President and the President's laboratory.

Job Requirements

Bachelor's degree and a minimum of two years of experience as an assistant to a senior management level position required. Higher education experience preferred. Must have strong customer service skills and a desire to assist others, experience dealing with a wide range of people, and excellent interpersonal skills. Must be able to quickly establish rapport, exercise tact and diplomacy, exercise independent judgment in making decisions, take initiative in solving problems, and work collegially and collaboratively with others. Must have discretion in handling extremely sensitive and/or confidential items. Must be proficient with computer applications, preferably MS Office suite (Outlook, Word, Excel and PowerPoint).
