Rockefeller University Administrative Assistant in New York, New York
Job Title Administrative Assistant
Laboratory / Department Laboratory of Lymphocyte Dynamics
Our Laboratory studies germinal centers, which are structures within lymphoid organs where antibodies mutate and improve their targeting capabilities in a process called affinity maturation. This allows the immune system to produce antibodies that are precisely targeted at invaders, resulting in faster and more robust responses upon subsequent exposures.
We are seeking an Administrative Assistant to join our Laboratory of Retrovirology to handle everything from accounting and finance to grants administration and administrative functions. Responsibilities include providing administrative support for the Laboratory Head and research personnel, processing all laboratory personnel and adjunct appointments (both new hires and terminations), and handling all aspects of the laboratory's finances, including budget accounting of several large accounts (both private and federal grants), writing progress reports, tracking laboratory expenditures, and other administrative demands of grant applications (including budgets). Will also be responsible for organizing and coordinating seminars, meetings, teleconferences, and the Lab Head's schedule, arranging travel and submitting forms for reimbursement, and conducting administrative and clerical tasks, such as upkeeping service contracts, answering telephones, filing, and ordering lab supplies.
High School diploma or equivalent required; college degree preferred. Must have previous administrative experience and proficiency with Word, Excel, and iCal, be knowledgeable of both grant writing and management, and be comfortable with budges and basic accounting. Clear communication, critical thinking skills, the ability to work independently, and strong organizational and prioritization skills are a must.
